Annual Financial Statements (Jaarrekening) for DAFT

Every year, your Dutch business needs to produce a jaarrekening—annual financial statements that summarize your business's financial position. If you've ever done basic bookkeeping in the US, the concept is familiar. But the Dutch version has its own rules, deadlines, and terminology.

As Dutch-American Friendship Treaty (DAFT) business owners, we found the jaarrekening process surprisingly manageable once we understood what was actually required. Here's the practical breakdown.


What Is a Jaarrekening?

Jaarrekening translates to "annual accounts" or "annual financial statements." It's a summary of your business's finances for the fiscal year (usually January 1 to December 31).

For an eenmanszaak (sole proprietorship), your jaarrekening is relatively simple. It feeds directly into your annual income tax return (aangifte inkomstenbelasting).

For a BV, the requirements are more extensive—you may need to file your jaarrekening with KVK and it must follow stricter accounting standards.

Most DAFT entrepreneurs operate as eenmanszaak, so that's what we'll focus on.


What Your Jaarrekening Includes

For an eenmanszaak, your annual financial statements consist of:

Winst- en verliesrekening (Profit and Loss Statement)

This shows your revenue and expenses for the year:

Revenue (omzet):

  • All invoiced income
  • Any other business income

Expenses (kosten):

  • Office and workspace costs
  • Professional services (accountant, legal)
  • Software and subscriptions
  • Marketing and advertising
  • Travel expenses
  • Depreciation on business assets
  • Insurance premiums
  • Outsourced work

Result: Revenue minus expenses equals your profit (winst) or loss (verlies).

Balans (Balance Sheet)

A snapshot of what your business owns and owes on December 31:

Assets (activa):

  • Business bank account balance
  • Outstanding invoices (debiteuren)
  • Business equipment and their depreciated values
  • Prepaid expenses

Liabilities (passiva):

  • Outstanding bills you owe (crediteuren)
  • Tax obligations (BTW, income tax)
  • Any business loans

Equity: Assets minus liabilities equals your business equity (eigen vermogen).

Pro Tip: If your eenmanszaak is service-based with no inventory and few physical assets, your balance sheet will be simple—mostly just your bank balance, outstanding invoices, and any tax obligations.


Deadlines

Income tax return deadline: Your jaarrekening feeds into your income tax return, which is due by May 1 of the following year. So for fiscal year 2025, your return (and underlying jaarrekening) is due by May 1, 2026.

Extension: You can request an extension (uitstel) through the Belastingdienst, which typically gives you until September 1. If you use an accountant, they can request a longer extension (beconnummer uitstel) until April of the following year.

BV filing at KVK: If you have a BV, you must also file your jaarrekening with KVK within 13 months of the fiscal year end. Failing to file on time can result in director liability in case of bankruptcy.

Preparing Your Jaarrekening: Step by Step

Step 1: Reconcile Your Books

Make sure every transaction in your business bank account is categorized in your accounting software. Common categories:

  • Omzet (revenue)
  • Kantoorkosten (office costs)
  • Reiskosten (travel costs)
  • Accountantskosten (accounting costs)
  • Afschrijvingen (depreciation)
  • Overige kosten (other costs)

Step 2: Check Outstanding Invoices

Any invoices you sent in 2025 but haven't been paid by December 31 go on your balance sheet as debiteuren (receivables). They're still counted as 2025 revenue.

Any bills you received in 2025 but haven't paid go as crediteuren (payables).

Step 3: Calculate Depreciation

Business assets over ~€450 should be depreciated over their useful life, not expensed in one year. Common depreciation periods:

  • Computer/laptop: 3 years
  • Office furniture: 5 years
  • Software licenses: 3 years

Example: A €1,500 laptop purchased in 2025 would be depreciated at €500/year for 3 years.

Step 4: Calculate Fiscal Deductions

Apply the deductions you're entitled to:

  • Zelfstandigenaftrek: ~€3,750 (if you meet the 1,225-hour requirement)
  • Startersaftrek: ~€2,123 (first 3 years of business, on top of zelfstandigenaftrek)
  • MKB-winstvrijstelling: 12.7% of your profit after deductions (everyone gets this)

Step 5: Generate the Statements

Your accounting software should generate the profit/loss statement and balance sheet automatically once everything is entered. Review them for accuracy.


Do You Need an Accountant?

You can do it yourself if:

  • Your business is a simple eenmanszaak
  • You have straightforward income (consulting, freelancing)
  • You use Dutch accounting software that generates jaarrekening reports
  • You're comfortable with the Dutch tax system

You probably need an accountant if:

  • You have a BV
  • You have complex international income (US + NL sources)
  • You're claiming deductions you're unsure about
  • It's your first year and you want to get it right

Cost of an accountant for jaarrekening + tax return:

  • Basic eenmanszaak: €300-800
  • Complex eenmanszaak (multi-currency, international): €600-1,200
  • BV: €1,500-4,000

Common Mistakes

Mixing personal and business expenses. If you use your business bank account for personal purchases, it complicates your jaarrekening and raises red flags with the Belastingdienst.

Forgetting about exchange rate gains/losses. If you invoice in USD, the exchange rate on the invoice date differs from the rate when you receive payment. This difference (koersverschil) should be recorded. Most accounting software handles this automatically.

Not tracking hours. The zelfstandigenaftrek requires 1,225 hours per year. If you can't demonstrate you worked those hours, you lose a ~€3,750 deduction. Keep a simple time log.

Expensing instead of depreciating. That €2,000 standing desk? It should be depreciated over 5 years, not written off in one year. The Belastingdienst can adjust your return if you get this wrong.

What We Wish We Knew: Start your bookkeeping on day one, even if your business hasn't earned anything yet. We waited three months and then had to reconstruct everything from bank statements. Jaarrekening and DAFT Renewal

Your annual financial statements are relevant to your DAFT residence permit renewal. The IND wants to see that your business is active and generating income.

You don't need to submit your full jaarrekening to the IND, but having clean financial records makes it easy to demonstrate business viability. Frequently Asked Questions

Q: What if my business had a loss this year? A: Losses happen, especially in the first year. You can offset a business loss against other income (like a partner's income) in the same year, or carry it forward to future years. A single loss year won't necessarily affect your DAFT renewal, but consistent losses over multiple years might raise questions.

Q: Can I do my jaarrekening in English? A: Your internal records can be in English. Your accounting software will generate Dutch-language reports for the Belastingdienst. The tax return itself is in Dutch, but most accounting software and accountants handle this.

Q: When should I start preparing my jaarrekening? A: January. As soon as the fiscal year closes, start reconciling. If you've been doing monthly bookkeeping, it's mostly just a review. The earlier you finish, the earlier you can file your tax return and get any refund owed.
